Site Selection and Negotiation
Regardless of the size of your meeting, one of the first things you need to determine is where it will be held. We gather all the information needed to help you make the decision on location. We negotiate on your behalf to ensure the best arrangements and prices for your meeting space, room accommodations and catering requirements.

Planning and Budgeting
We know that planning and budgeting go hand-in-hand and we are committed to work with you to create a successful meeting based on the financial resources available. We can work within your established budget or our associates can assist you in developing your meeting budget. Since meetings and conventions are a primary source of non-dues income for an association, we work with your volunteers to ensure a positive bottom line.

Time-Line Planning and Execution
Our associates work with your volunteers to develop a production schedule that allows time to adequately promote and carry-out the meeting.

Registration
Our associates are experienced in receiving and processing registration forms from your meeting participants. We take care of all time-consuming details involved in processing registrations, collecting and depositing payments, generating attendance lists and preparing personalized, laser-printed name badges, so that you're free to concentrate your efforts in other important areas. We also provide management and support staff for your on-site registration desk.

Promotion
No conference can be successful without proper promotion. We manage all aspects of promotion from design to production and mailings.

Programs and Decor
We work with you to plan interesting and affordable social functions tailored to your participants. Based on your budget, we can arrange appearances by speakers and entertainers and work with decorators to create the perfect atmosphere for your event.

Exhibits
If your convention includes exhibits, our associates can handle everything from developing promotional materials to market your show, accepting registrations, assigning booths, providing security, to overseeing decorators to set-up and teardown the show.

On-Site Arrangements
Our associates work closely with the hotel staff to make certain all arrangements, including catering functions, are handled to your specifications. We are also available to staff your registration desk, distribute registration materials, answer questions and do whatever is necessary to assist your attendees.

Final Details and Wrap Up
As soon as your meeting has ended, it is time to start thinking about your next meeting. To help plan for it, we can assist you in preparing an evaluation form for distribution to all of your participants. We will collect and compile the evaluations and prepare a comprehensive summary of the findings. Our associates can also ensure that all bills are reconciled before being forwarded for payment and provide a detailed accounting of income and expenses no later than 60 days following your meeting.
